Job Summary:

As a Payroll Business Analyst, you will play a key role in optimizing and enhancing Payroll Operations' use of Workday and related technologies. This position requires broad knowledge in HR, finance, and payroll, coupled with technical expertise in ERP systems, particularly Workday. You will collaborate closely with the Integrated Service Centre (ISC), IT departments, and internal stakeholders to advise on system capabilities, improve processes, and resolve business challenges aligned with Payroll Operations' strategic goals.

Organizational Status:

The Payroll Business Analyst reports to the Manager, Payroll Services and Analytics.

Work Performed:

Workday Reporting and Optimization:

  • Manage all Payroll Operations-related Workday reports, including approving changes requested by payroll staff. For example, you might approve changes to union dues reports to prompt by completed date instead of payment date, ensuring no retroactive submissions are missed.
  • Lead the investigation of new Workday reporting functionalities such as Discovery Boards and Worksheets, assessing their usefulness within Payroll Operations. This includes preliminary requirements gathering and feasibility analysis.
  • Facilitate the adoption process for new Workday reporting functionalities, involving requirements gathering, building or coordinating the development of functionality, and leading user acceptance testing within Payroll Operations.
  • Enhance Payroll Operations' use of Workday reports and dashboards through staff education and thorough requirements gathering, ensuring that systems meet operational needs.
  • Serve as the primary contact for ISC's Data and Reporting team to ensure alignment on reporting requirements and solutions.

ServiceNow Ticket Management:

  • Facilitate regular meetings with ISC management and analysts to address ServiceNow tickets from Payroll Operations.
  • Establish and optimize processes for vetting and prioritizing configuration issues within Payroll Operations, ensuring a structured approach to issue resolution.
  • Communicate relevant Workday changes to Payroll Operations staff, simplifying technical information and determining the appropriate audience within the department.

Automation and Project Management:

  • Lead automation projects from initiation to completion on behalf of Payroll Operations, ensuring alignment with operational goals and needs.
  • Collaborate with the Automation team to troubleshoot and deploy solutions for enhancing operational efficiency, distinguishing between leading new projects and addressing issues with existing bots.

Data Analysis and Reporting:

  • Analyze UBC Payroll data, including developing KPIs, trend analyses, and data modeling for a payroll totaling approximately $2 billion annually. This includes designing and maintaining dashboards for internal and external reporting.
  • Design and maintain dashboards of payroll data (as well as ServiceNow ticket data) for internal and external reporting purposes.

Systems Integration and Development:

  • Lead payroll business and systems analysis for enhancements and integrations, including end-to-end analysis of complex payroll processes. This involves ongoing business and systems analysis, software enhancements, and integrations, ensuring the functionality aligns with Payroll Operations' needs.
  • Collaborate with technical support teams to resolve data issues and optimize workflow processes, ensuring seamless operations within Payroll.
  • Lead the adoption of new technologies such as Power BI.

Training and Documentation:

  • Lead the adoption of new reporting functionalities within Payroll Operations and for distributed users, including identifying stakeholders, conducting training sessions, and producing technical documentation and operational procedures tailored to users of varying technical abilities.
  • Conduct training sessions for Payroll Operations and distributed users.
  • Produce technical documentation and operational procedures for internal and IT support.

Other Duties:

  • Take on ad-hoc projects as required to enhance operational efficiency and effectiveness.

Consequence of Error/Judgement:

This role plays a critical part in ensuring the functionality and integrity of Payroll systems at UBC. Errors could lead to financial losses, compliance issues, or operational inefficiencies affecting staff and the university community.

Supervision Received:

Operates independently under the general direction of the Manager, Payroll Services and Analytics, ensuring objectives and deadlines are met effectively.

Supervision Given:

Leads changes in processes and systems, provides technical guidance and support to Payroll and distributed users, and serves as a key point of contact for project teams.

Minimum Qualifications:

  • Undergraduate degree in a relevant discipline

  • Minimum of five years of related experience or an equivalent combination of education and experience.

  • Willingness to respect diverse perspectives, including perspectives in conflict with one's own

  • Demonstrates a commitment to enhancing one's own awareness, knowledge, and skills related to equity, diversity, and inclusion

Preferred Qualifications:

  • Positive and solution-focused attitude with a strong customer service orientation.

  • Proven ability to manage multiple projects, prioritize effectively, and lead change initiatives.

  • Experience in business processes, change management, and ERP systems.

  • Proven leadership skills and critical thinking abilities.

  • Familiarity with Workday, ServiceNow, PowerBI, and Calumo.

  • Experience in a complex, academic environment.

  • Completion of or working towards a Payroll Compliance Practitioner (PCP) designation.

  • Completion of or working towards a certificate in business analysis.
