Compensation Range

Job Summary

The Digital Solutions Junior Data Coordinator contributes to the development, implementation and support of health research studies and research data platforms and solutions for the Faculty of Medicine research community.

Reporting to the Team Lead, Data Management, the Digital Solutions Junior Data Coordinator will be an integral part of the team by managing, developing, maintaining and enhancing data operations for the Faculty of Medicine. Digital Solutions Junior Data Coordinator will work closely with internal and external members to provide leadership on data development, management, linkage and integration expertise on various Electronic Data Capture (EDC) platforms of the Digital Solutions Group.

This position sits within the Advanced Data & Analytics portfolio in Digital Solutions Group to supports clinical researchers and research groups within the UBC and Health sector research communities. This position reports to the Team Lead, Data Management requires extensive contact with faculty, staff, and students.

Work Performed

  • Responsible for the development of electronic Case Report Forms (eCRFs) for small-scale projects, and assisting the Data Management team with large-scale projects in alignment with Data Management best practices, study protocol guidelines, and established principles, ensuring accurate adaptation to research software and supporting study design through participation in research meetings.
  • Participates in developing and writing portions of educational training materials with support by supervisor and/or team members.
  • Delivers training sessions, workshops, and educational materials to support the research community in effectively using data platforms, tools, and best practices in data management.
  • Documents project modifications, troubleshooting steps, end-user support, meeting notes and system changes for review by supervisors and/or end-users.
  • Assists the Data Management team in performing security and audit checks for research projects including project archiving activities and documents/actions findings with review by supervisor.
  • Monitors ticket system and assists users with troubleshooting and resolving service desk inquiries related to electronic data capture (EDC) platforms, data management, and research data tools, providing timely and effective support to researchers.
  • Provides entry-level research data management and technical support for research data projects across data management platforms, ensuring effective use by FoM research community and end-users across the project lifecycle.
  • Assists with database support across FoM EDC platforms including coding of instruments, programming conditional logic and validation checks, creating and maintaining data dictionaries and debugging modified.
  • With supervision, helps in implementing modifications and maintaining data collection instruments in EDC platforms for existing projects as well as adapting study protocols to EDC platforms using detailed specifications on Case Report Forms.
  • Follows best practices for maintaining data in a secure environment.
  • Assists in database upgrades/migrations testing and debugging, including performing user acceptance testing, trouble-shooting database issues with clients and EDC vendor until resolution is obtained and software maintains a required validation state. Maintains and updates FoM ResTech website.
  • Performs other related duties as required.


Consequence of Error/Judgement

The incumbent is expected to understand data management procedures and institutional and regulatory policies around the management of research data. Consequences of error could translate to prolonged downtimes of mission critical applications at the individual, organizational or provincial level.


Impact of decisions would affect the integrity of the research data, adherence to regulatory procedures and potentially risk privacy and confidentiality of the research participants, possibly lead to additional operating costs, and/or negatively impact UBC's reputation.

Supervision Received
Works under the general direction of the Team Lead Data Management and Manager, Research Data Services. Must be able to work independently and carry out work to completion. Keeps the Manager informed of the status of work in progress. Works on tasks to meet deadlines on various projects. Work is reviewed in terms of achievement of desired results.

Supervision Given
This position works as a member of the Faculty of Medicine Digital Solutions group and from time to time may provide supervision to intern and work learn students. This position may require the training of newly hired staff on Faculty of Medicine's EDC platforms.

Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of one year of related experience, or the equivalent combination of education and experience.

Preferred Qualifications

  • Excellent organizational, planning, and prioritization skills.
  • Minimal clinical research knowledge required
  • Some experience developing research studies and databases using software for clinical research (such as REDCap, Qualtrics, OpenSpecimen or similar).
  • Understanding of the academic research process and health research regulatory guidelines, governing agencies and Good Clinical Practice (GCP) acquired through both practical and/or academic experience considered an asset.
  • Demonstrated ability to work collaboratively within a team environment and effectively engage with colleagues and the researcher community.
  • Some experience with implementing and conducting training programs for staff.
  • As this position involves stakeholder interaction in person, video conferencing technologies and email, as well as documentation creation, excellent written and verbal English communication skills are critical.
  • Strong problem analysis and solution design skills.
  • Able to multi-task and deliver multiple assignments in a fast-paced and changing environment.
  • Knowledge of clinical trial processes and data management procedures considered an asset.
